Privacy Policy for Baytech Consulting LLC
Last updated: August 16, 2026
1. Introduction
Baytech Consulting LLC ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website https://www.baytechconsulting.com (the "Site") or contact us for our services.
2. Information We Collect
2.1 Information You Provide to Us
We collect information that you voluntarily provide to us when you use our contact form. This may include:
- Name
- Email address
- Phone number
- Any other information you choose to provide in the "Notes" field
2.2 Information We Collect Automatically
When you visit our Site, we automatically collect certain information about your device and usage of the Site. This includes:
- Usage Data: We use Google Analytics (G4) to collect standard internet log information and details of visitor behavior patterns. This information is processed in a way that does not identify anyone. Baytech's own first-party analytics (see Section 6 below) runs alongside Google Analytics.
- Cookies: We use a first-party cookie named "_btv" for our own analytics, set only after you accept cookies (see Section 6 below). In addition, third-party services we use may employ cookies:
- Google Analytics uses cookies to collect usage data.
- The Clutch.co widget, displayed via an iframe on our Site, may use cookies for its functionality.
3. How We Use Your Information
We use the information we collect for various purposes, including:
- To respond to your inquiries and provide the services you request
- To improve our Site and services
- To analyze Site usage and optimize user experience
- To comply with legal obligations
We do not use your contact information for marketing campaigns. We only use it to respond to your direct inquiries about our software development services.
4. Disclosure of Your Information
We may share your information in the following situations:
- With service providers who perform services for us (e.g., Google Analytics for site analytics)
- To comply with legal obligations
- To protect and defend our rights and property
- With your consent or at your direction
5. Third-Party Services
Our Site includes the following third-party services:
- Google Analytics: For website usage analysis. You can learn more about how Google uses your data at https://policies.google.com/privacy/partners.
- Clutch.co: We use an iframe to display our ratings from Clutch.co. Please refer to Clutch.co's privacy policy for information on how they handle data.
6. Baytech First-Party Analytics
Baytech Consulting operates its own, self-hosted analytics for the Site. This is a first-party system we built and run ourselves — it is not a third-party analytics provider, and the data it collects does not leave Baytech's own systems.
6.1 What We Collect
Our analytics records the pages you view, the time you spend on a page, the site that referred you to us, coarse device and browser information (for example, the type of device and browser you are using), and an approximate location derived from your IP address (such as city or region — not a precise, street-level location).
6.2 How We Handle Your IP Address
We use your IP address only to derive an approximate location. The IP address itself is hashed and discarded within 48 hours of collection — it is never stored in raw form.
6.3 No Sale or Sharing
We do not sell this analytics data, and we do not share it with any third party. It stays in Baytech's own systems.
6.4 The "_btv" Cookie and Cookie Consent
If you accept cookies, we set a cookie named "_btv" that remembers you as a returning visitor for 2 years. If you do not accept cookies, your visit is still counted, but anonymously — no "_btv" cookie or other durable identifier is set.
6.5 Do Not Track and Global Privacy Control
We honor the Global Privacy Control (GPC) and Do Not Track (DNT) signals sent by some browsers and browser extensions. If your browser sends either signal, we do not set the "_btv" cookie and we do not keep a durable record of you as a visitor, regardless of any cookie-consent choice you have made.
6.6 Form Field Data
Our analytics never records the values you type into a form field. It only records that a form was started or submitted, and the name of that form.
6.7 Requesting Deletion
To request deletion of analytics information we hold about you, contact support@baytechconsulting.com.
7. Baytech Notetaker (Zoom meeting assistant)
Baytech Consulting operates Baytech Notetaker, a Zoom app used internally by our team to record and summarize meetings related to our consulting engagements.
7.1 What We Collect
When a Baytech team member has connected their Zoom account and a meeting involving Baytech is recorded, we collect the meeting's audio, video, and chat, and produce transcripts and summaries. The Notetaker always appears in the meeting as a visible, named participant. When a Baytech employee connects their Zoom account, we also store their basic Zoom profile information (name, email, Zoom user ID). Zoom sign-in tokens are stored encrypted by our self-hosted recording service; we never receive or store your Zoom password.
7.2 How We Use It
Recordings, transcripts, and summaries are used solely to support our consulting engagements — capturing decisions, action items, and project details for the Baytech team and, where applicable, the client the engagement serves. We do not use meeting content for advertising and we do not sell it.
7.3 Storage and Sharing
Meeting content is stored in Baytech Consulting's own systems, encrypted in transit, and available only to authorized Baytech staff. We share it only with service providers that process it on our behalf under contract (for example, AI transcription and summarization providers), or where required by law.
7.4 Your Choices
Baytech employees can disconnect their Zoom account at any time from the Baytech portal or by removing the app in their Zoom account settings. Meeting participants who prefer not to be recorded can say so — the host can remove the Notetaker from a meeting like any participant. To ask about or request deletion of meeting information we hold, contact support@baytechconsulting.com.
8. Data Security
We implement reasonable security measures to protect your personal information. However, please be aware that no method of transmission over the Internet or electronic storage is 100% secure.
9. Your Rights
Depending on your location, you may have certain rights regarding your personal information, such as the right to access, correct, or delete your data. Please contact us to exercise these rights.
10. Children's Privacy
Our Site is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.
11. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
