# Baytech Notetaker for Zoom

The meeting assistant that records and summarizes Baytech Consulting engagements — so
decisions, action items, and project details are never lost.

## What it is

Baytech Notetaker is Baytech Consulting's internal meeting assistant. When a meeting
involving Baytech is scheduled, the Notetaker joins the Zoom call as a clearly visible,
named participant. It records the meeting and produces a transcript and summary that the
Baytech team reviews in our internal portal. It is used exclusively by Baytech Consulting
employees and is not offered to the public.

## Adding the app

**Before you start** you need two things: a Baytech portal account with Zoom recording
enabled, and a Zoom account. If the *Zoom recording* row described below is not on your
Connections screen, your portal account does not have the permission yet — ask a Baytech
administrator.

1. Sign in at [app.prod.baytechconsulting.com](https://app.prod.baytechconsulting.com).
2. Click your name or avatar at the **top right**, then **Account**.
3. Open the **Connections** tab. The **Zoom recording** row shows *Not connected*. (Going
   straight to [app.prod.baytechconsulting.com/zoom](https://app.prod.baytechconsulting.com/zoom)
   opens the same screen.)
4. Click **Connect Zoom**. You are taken to Zoom's own consent screen, which lists exactly
   what is being requested. Baytech never sees your Zoom password.
5. Approve on Zoom's screen. You return to the Connections tab and the row now reads
   *Connected*, with a **Disconnect** button.

## Using the app

Once connected, there is nothing to run and nothing to remember. The Notetaker joins Zoom
meetings that a connected Baytech team member attends — including meetings hosted by a
client — and it always joins as an ordinary, clearly visible participant named for Baytech.
Everyone in the meeting can see it in the participant list, and anyone, including the host,
can remove it from the meeting the same way they would remove any other participant.

After the call ends, the recording is transcribed and summarized automatically. The
transcript and summary appear on that meeting's page in the Baytech portal, where
authorized Baytech staff can read them.

**If something looks wrong:**

- **The Notetaker did not join a meeting.** Nobody in that meeting had a connected Zoom
  account. The Notetaker only enters on the authorization of someone who connected and is
  in the room.
- **Your row says "Reconnect".** The authorization was revoked — usually because the app
  was removed on the Zoom side, or the Zoom account changed. Click **Reconnect** and
  approve again.
- **The meeting is hosted by an outside account.** Joining meetings hosted outside
  Baytech's own Zoom account requires this app to be approved by Zoom. Until that approval
  is in place, the Notetaker can only join meetings a Baytech account hosts.

## Removing the app

There are two ways to disconnect, and either one is enough. Both take effect immediately.

- **From the Baytech portal.** Go to **Account → Connections** and click **Disconnect** on
  the **Zoom recording** row, then confirm. Baytech revokes the stored authorization at its
  recording service first and removes the local record afterwards, so a failure leaves you
  connected rather than silently orphaning the grant.
- **From your Zoom account.** In Zoom, open **Settings → Connected Apps** (or
  **Manage → Added Apps** in the Zoom Marketplace) and remove **Baytech Notetaker**. The
  grant is gone on Zoom's side at once, and the Baytech portal marks the connection
  inactive and offers a **Reconnect** button.

**What removal does.** The Notetaker stops joining Zoom meetings on your authorization, so
it will no longer attend client-hosted calls you are in. Meetings already recorded are kept
and stay visible to authorized Baytech staff in the portal — removing the app does not
delete past recordings. You can reconnect at any time, and nothing is retained on Zoom's
side after you disconnect.

## Data & privacy

- Meeting recordings and transcripts are stored in Baytech Consulting's own systems and are
  available only to authorized Baytech staff.
- Zoom sign-in tokens are stored encrypted by Baytech's self-hosted recording service; the
  Baytech portal itself stores no Zoom tokens.
- The app requests only minimal Zoom permissions: reading the authorizing user's basic
  profile, and token support so the bot can join meetings that user attends.
- No Zoom data is sold or shared with third parties.
